With ADA.DPM on ARXivar NEXT, Reggini retrieves documents directly from its DMS and digitalizes sales, work orders and the accounts payable cycle within a single ecosystem.
Reggini is a well-established name in the automotive dealership world, offering new and used vehicle sales, servicing, after-sales support and specialized consulting for the Volkswagen, Audi and Škoda brands.
The story began in 1950 out of the passion of Elio Reggini, a close friend of Gerhard Richard Gumpert, founder of the Volkswagen Group in Italy. From a sole proprietorship to a joint-stock company, Reggini has now reached its third generation.
Reggini needed document management integrated with its in-house DMS, able to automatically capture the documents generated by its management systems and communicate with the administrative and accounting software already in place.
Numerous paper archives made a digitalization path necessary, to classify, organize and manage documents from the moment they entered the company, across sales, work orders and the accounts payable cycle.
The solution, integrated with the DMS, automated the management of sales documents, centralized service documentation and integrated administrative and accounting processes. Today Reggini has a single document ecosystem offering greater control, faster retrieval and traceability.
A workflow guides the sales department from the first interaction with the customer through to vehicle delivery.
For the service department, digital management of work orders and their related documentation was introduced.
For electronic invoices received from the manufacturer, the system automatically imports the document and transfers the data to the administrative and accounting systems. For paper documentation, after accounting entry and the creation of the record in ARXivar NEXT, barcode labels enable automatic capture and archiving, bringing paper and digital together.
Accessible at any time from any location: more collaboration and operational continuity.
Digital workflows and procedures monitor progress and enable fast intervention.
Less paper used, particularly in sales and document management processes.
A single version per file: no redundant copies or misalignment.
Defined paths with reviewers and approvers at each operational stage.
“ADA.DPM has let us retrieve all our documentation directly from our DMS automatically, thanks to the seamless integration. Beyond automatic retrieval, we digitalize documents from the moment they enter the company, routing them into predefined workflows. Building specific processes has increased control over information and sped up checks and approvals, cutting decision-making times. We’ve also achieved significant logistical and financial savings: ADA.DPM has brought us closer to full company-wide digitalization.”
